We are seeking a highly organized and detail-oriented individual to join our marketing department at Fluid-Aire Dynamics, a leading provider of compressed air services! In this role as an Administrative & Trade Show Coordinator, you will play a vital role in supporting the marketing team's activities and ensuring the successful execution of trade shows and events.
Our marketing team supports four brands:
Fluid-Aire Dynamics (regional compressed air service provider); PneuTech (national brand of compressed air equipment); Unipipe Solutions (master distributor of aluminum piping systems in North America); and PneuTech Nitrogen (experts in nitrogen generation system design and equipment).

Provide administrative support to the marketing department, including scheduling meetings, managing calendars, and handling correspondence Assist in the creation and distribution of marketing materials, presentations, and reports Maintain and update the company's marketing databases, customer lists, and mailing lists Monitor and manage the department's budget, track expenses, and process invoices Coordinate travel arrangements and accommodations for team members attending conferences, trade shows, and other marketing events Assist in the coordination and execution of marketing campaigns, including email marketing, social media, and online advertising Conduct research and gather data on industry trends, competitors, and target markets to support marketing initiatives Provide general administrative support such as filing, record-keeping, and ordering office supplies Coordinate orders and assets trade shows, exhibitions, and industry events Coordinate setup, and logistics, including shipping, transportation, and installation of displays and promotional materials Liaise with vendors, contractors, and suppliers to ensure timely delivery of materials and services Manage attendee registration and coordinate travel arrangements for staff attending trade shows Who We're Looking For:
Proven experience as an Administrative Assistant or in a similar role, preferably in a marketing department! Strong organizational and time management skills with the ability to prioritize tasks and meet deadlines Excellent written and verbal communication skills Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
Experience with the Adobe Creative Suite is a plus Detail-oriented with a high level of accuracy in data entry and record-keeping Ability to work independently and as part of a team, with strong interpersonal skills Experience in coordinating trade shows or events is highly desirable Knowledge of the compressed air industry or experience in a related field is a plus Ability to travel and work flexible hours, including weekends, as required for trade show coordination Join our dedicated marketing team and contribute to the success of our company by providing valuable administrative support and ensuring the smooth execution of trade shows and events.
