The Executive Administrative Assistant is a high level, fast paced position that will serve as the primary gatekeeper to the Executive Office of the President & CEO. This person will have a broad range of responsibilities and must maintain poise, professionalism and a confident demeanor in a fast paced, often highly stressful environment. Must have outstanding written and oral communication skills, high attention to detail, and effectively be able to manage executive administrative functions such as calendaring and scheduling, preparation of presentations and documents, review and maintenance of highly sensitive and/or confidential documents and contracts, and often interface and communicate with other high level business executives. Ultimately, this role should relieve the President & CEO of administrative type functions in order to increase the time the President & CEO has available for executive level responsibilities. The ideal candidate will be expected to be proactive, thrive in a self-directed environment (i.e. work independently), and to take ownership for all aspects of contract administration and maintenance of certain legal documents while maintaining a high level of accuracy. Must prioritize, be a forward thinker, and maintain confidentiality at all times.

Essential Duties and Responsibilities include, but are not limited to, the following:

Coordinates and communicates appointments, scheduling, and calendaring of President & CEO to third parties, including other business executives.
Maintains contracts and certain sensitive legal documents. Will work closely with Corporate Legal and input data into records management system and/or database as directed.
Maintains all business filings for various corporate entities, including global entities.
Maintains Corporate Record Books with flawless attention to detail.
Directs preparation of records such as Advisory Board minutes and other corporate governance responsibilities.
Researches and compiles data, develops reports, and works on special projects as delegated.
Redlines or revises documents as directed and/or required.
Communicates effectively in emails and written format with excellent punctuation, grammar, and spelling.
Arranges travel schedule and reservations, thinking proactively to maintain a seamless experience.
May also be assigned management responsibilities for certain functions or departments.
Greets visitors, ascertains nature of business, and conducts visitors to executive or appropriate person.
Answers telephone and gives information to callers or routes call to appropriate official and places outgoing calls.
Composes and prepares correspondence as needed.
Files correspondence and other records while adhering to appropriate records management system(s) and instructions regarding file maintenance systems.
Reads and routes incoming mail, correspondence, and documents as needed.
Performs various support duties for other executive staff as needed.

Education and/or
Experience: Bachelor's degree; and five years of clerical experience, three of which must have included supervision, organization, coordination, and performance of duties at a responsible level, and contract administration; or a combination of education and experience. Three years of experience supporting a C-Level Executive is a must.

Estimated Salary: $20 to $28 per hour based on qualifications.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
